Any registration for a stay implies the complete acceptance of our general terms and conditions.

The Les Carlines Village Vacances is an undertaking of ATOU, Tourism department of the Association Accueil et Promotion (15 rue Voltaire, 02100, SAINT QUENTIN, FRANCE).

All options are confirmed through the receipt of a reservation contract signed by you and returned to us. Reservations will come into effect following receipt of the signed contract and of the down payment.

Attention: Cheques to be drawn to the order of "Accueil & Promotion" Registration forms are processed in the chronological order of their receipt, subject to availability of accommodation corresponding to the composition of the family.

  • When your request is accepted, you will receive your invoice serving as an acceptance and the practical details informing you about the important points on how you will spend your time during your stay.
  • In case we are not in a position to fulfil your request, we will contact you to arrange for an alternative solution.

TARIFFS

Our tariffs are calculated on a per person basis for full or half board. The tariffs are all-inclusive.

Services included in the price of the stay:

7 days/6 nights - Full board stay: from first day lunch to last day lunch - Children's Club for the 3 months to 17 years of age - Day and evening activities - Rate for ski lift included.

Services not included in the price of the stay:

Additional individual room (€13 per night) - Personal expenses - Drinks other than those offered during meals - Additional services and activities requested for are treated as extra (Linen rental, end of stay housekeeping, laundry, sauna) - Family or individual registration – Arrival the evening before: €30 per adult, €20 per child of 6 to 11 years of age, €11 per child of 1 to 5 years of age (diner + night + breakfast).  
Any modification to dates of reservation or family composition may compromise your stay. Late arrivals or early departures will not qualify for any partial refunds and are consequently the responsibility of the buyer.

MEMBERSHIP AND REGISTRATION FEES

Our membership fee is €8. Membership, paid prior to any reservation, is valid from 1/12/2011 to 30/11/2012. Registration fee per reservation stands at €20.
Membership fees and registration fees are not refundable.

BALANCE OF YOUR PAYMENT

The balance of the payment for your stay (detachable part at the bottom of your invoice) MUST be sent back to us and settled 4 weeks before your arrival. Failure to comply with the time limit may lead Accueil & Promotion to cancel your stay and allocate your accommodation to another family. In the case of a registration less than 1 month before arrival, the full cost is due immediately. Any claim regarding your stay must be made within a maximum of 1 month from your return date and by registered mail.

ASSISTANCE FOR HOLIDAYS :

Family quotient

You may qualify for a discount of 10% or 20% on the amount for your stay (excluding registration fee and membership) depending on your family quotient

Method of calculation of your family quotient : Divide your taxable revenue (do not deduct any amount from this total amount) appearing on your 2010 income tax form by the number of fiscal parts. When the sum obtained is less than €8 340, the rebate is 20%; if it is between €8 341 and €13 350, the rebate is 10%. (Please submit a copy of your 2010 income tax form)

- For couples living together, please submit the income tax form of both persons and use the cumulative revenue for calculation purposes. The number of fiscal parts will be the same as for a married couple.
- For reconstituted families, please submit the income tax forms of the household responsible for the children.
- Persons having paid their income tax in a foreign country will be accommodated at the normal tariff.
- Revenues from self-employed activities are considered for micro enterprises.

ANCV (national agency for holiday cheques) holiday cheques

You may use this means for the payment of your stay. We recommend that you send us these cheques by registered or traceable mail (lettre suivie). In case of loss, we would not be held responsible.

Holiday coupons

Holiday coupons are accepted for the payment of your stays. They are to be enclosed with your membership form and the value is deducted from the balance on your payment subject to approval of your application by the CAF (French social security service). They are not accepted as down payments. We are also a partner of the VACAF (agency managing Family allowance for holidays).

FEES FOR MODIFICATIONS

Any modification made to the original reservation is subject to an administrative fee of €10. Any week shortened or meals not consumed (day of arrival, departure or during the stay) is neither refundable nor exchanged and are consequently attributable to the buyer.

DEPOSIT OF GUARANTEE

Upon your arrival, you will be required to make a deposit of €150 as a guarantee and this sum is refunded on departure on condition that the accommodation unit is clean and that all equipment is in good working conditions. An inventory of the accommodation unit is carried out upon your arrival and at departure. On arrival, the client may be required to carry out the inventory himself, in which case he/she must report any defects to management within a period of 3 days. On departure, in case of night or early departure without possibility of an inventory, the deposit will be retained and sent at a later date subject to any deductions for cleaning and/or repairs.

PETS

For reasons of hygiene and safety and in accordance with regulations in force, pets are not allowed in our camps.

INSURANCE

We have subscribed to insurance in your name at ALLIANZ, an authorised insurance company with registration no. 40530946 that covers the following civil liabilities: corporal damages (except food poisoning or accidental pollution): € 4 600 000, food poisoning: €382 000, resulting from material and consequential damages:  €460 000, accidental pollution: €153 000, Theft per person: €15 500.

  • Insurance covering the theft of personal belongings as a result of burglary from the accommodation unit you occupy at the camp. Theft of jewellery and cash money are excluded.
  • In no case will the Accueil & Promotion Association be held responsible for the theft, degradation, deterioration of personal objects inside or outside its facilities. (Locked ski closets are considered to be an annexe to the accommodation unit). Personal insurance is not linked to your membership. Our insurance covers our civil liabilities, but not those of the member. We advise you take out "Head of Household" liability cover including cover for the activities you intend to practise.

TERMS FOR CANCELLATION

All cancellations should be made in writing.
The amounts to be retained depend on the date of cancellation of the stay as attested by the post mark date.  We can provide you with an optional cancellation cover MONDIAL ASSISTANCE for a sum equal to 2.5% of the price of your stay. This contribution enables you to benefit from reduced retentions in case of partial or total cancellation of your stay within the following limits: €6 500 per person, €32 000 per claim, Excess: €30 per person insured.
This insurance must ne taken out at reservation and should be mentioned on the membership form. It cannot be subscribed to after acceptance of the stay.

TERMINATION OF THE CONTRACT BY THE CLIENT

Administrative and membership fees and any cancellation insurance costs are not refunded in case of termination. In addition, cancellation fees will de deducted according to the number of days from the date of cancellation to the start date of the stay according to the rate indicated below :

  • More than 60 days: 15% of the price of the stay.
  • Between the 60th and 30th day: 30% of the price of the stay.
  • Between the 29th and 15th day: 70% of the price of the stay.
  • Within 14 days preceding the start of the stay: 100% of the price of the stay.


We strongly advise you to subscribe to the Mondial Assistance cancellation cover at the time of making your reservation. The insurance company will refund cancellation fees up to the eve of the starting day of your stay in the following circumstances:

Temporary disability : or permanent disability of the insured, his/her spouse, ascendant or descendants, as well as those of his/her spouse, his/her brothers, sisters, brother-in-laws, sister-in-laws, father-in-laws, mother-in-laws, legal guardian as well as the person placed under guardianship consecutive :

  • to an illness or accident.
  • to consequences, after-effects, complications or an aggravation of an illness or accident having occurred before the reservation of your stay.

Death of the insured, of his/her spouse, ascendant or descendants, as well as those of his/her spouse, his/her brothers, sisters, brother-in-laws, sister-in-laws, father-in-laws, mother-in-laws, legal guardian as well as the person placed under guardianship.

Serious material damages consecutive to a theft, fire, damage by water, climatic event requiring the insured to remain at the camp on the proposed date of departure, for the implementation of precautionary measures and administrative procedures, and affecting more than 50% of the main or secondary residence of the insured.

  • Severe damage to the vehicle of the insured occurring within 48 hours preceding your departure.
  • Economic lay-off of the insured or of his/her spouse.
  • Obtaining a salaried job or a paid professional training.
  • Cancellation resulting from one of the events mentioned above, of one or several persons registered at the same time as you and insured according to the present contract if, because of this cancellation, you had to travel alone or with someone else.

RESPONSIBILITY

According to Article L 211-17 of the tourism code "Any physical or moral person, undertaking operations mentioned at Article L 211-1 (all-in travel package) is legally responsible towards the buyer for the good execution of obligations resulting from the contract, that these obligations be executed by the person concerned or by other service providers without prejudice to his rights to appeal against the latter. However, he may waive himself from any or part of his responsibilities by proving that the execution of the contract is imputable to the buyer, or due, unforeseeable and insurmountable, to a third party stranger to the supply of the expected services mentioned in the contract, or due to a force majeure."
Accueil & Promotion reserves the right, the exigencies of the circumstances so requiring and in the interest of participants, to modify the content and activities attached to the stay.
